Customer service is truly the backbone of any successful business. A great product or service is what customers want; great customer service is what customer will come back for. Devoted customers are rare. A good first impression is ideal, although not always the most important impression. A great customer service representative can turn an angry customer into a happy one, sometimes without giving them what they want. There are steps to achieve this desired outcome.
Make a concerted effort to enjoy your job. You spend at least 1/3 of a 24-hour period doing your job, like what you do. When you enjoy what you do it radiates to others and your customers. Have a sense of humor.
Just listen, especially if the customer is angry. I believe listening is a dying art.
Do not assume you know what the customer wants. Even if you do, let him tell you. He will feel better about the conversation.
The customer will know you're listening if you repeat her request.
Let that angry customer rant and rave. When the customer says, "You did this!" he is speaking about the company, not you personally. Hold your tongue and wait until he is done speaking. If he uses profanity, then the ball is in your court. It really depends on how much profanity you can take. Sometimes I can take a lot, sometimes a little. You will lose the battle quickly if you're rude or sarcastic. Tell the customer you are listening to her. Sometimes she will ask for your supervisor right from the start. Ask her politely if you can help. Your supervisor will appreciate it.
You are knowledgeable of the products or services the company you're working for provides. Convey that knowledge, although let the customer be in control. If he is having trouble, give him options, but let him decide.
Even if you have to fake being nice to customers, working toward the positive is always good. It certainly relieves stress. Eventually you won't have to fake it and the sentiment will be genuine. This is your job, become indispensable to your employer. Do not become a target for termination. Remember, luck favors the prepared.
